Privacy Notice

Homestay England Limited are committed to protecting and respecting your privacy.

This privacy notice sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us. Please read the following carefully to understand our views and practices regarding your personal data and how we will treat it.

Important information and who we are.

Controller

For the purposes of the Data Protection Act, and the General Data Protection Regulation ((EU) 2016/679), Homestay England Limited, 12 Tentercroft Street, Lincoln LN5 7DB are the data controllers.

We do not sell, share or transfer personal information.

We use up-to-date industry procedures to keep personal information as safe and secure as possible and to protect against loss, unauthorised disclosure or access. Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal information, we cannot guarantee the security of your data transmitted to the Site; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.

Changes to the privacy notice and your duty to inform us of changes.

Any changes we may make to our privacy notice in the future will be posted on our website and if necessary sent to you by e-mail. Please check back frequently to see any updates or changes to our privacy notice.

It is important that the personal information we hold about you is accurate and current. Please keep us informed if your personal information changes during your relationship with us.

The data we collect about you.

Personal data, or personal information, means any information about an individual from which that person can be identified.

  • Identity Data includes first name, last name and date of birth. We also collect your passport number for producing a letter of proof of your homestay to show to the Immigration Officer at a UK entry point.
  • Contact Data includes billing address, delivery address, email address and telephone numbers of a contact in the case of an emergency.
    Financial Data includes bank account and payment card details should you pay by International Bank Transfer.
  • Transaction Data includes details about payments to and from you and other details of products and services you have purchased from us.
  • Profile Data includes information on your hobbies and interests to help us make your homestay experience as comfortable as possible.
  • Homestay Data We will collect data about your homestay request, date of arrival and your date of departure so that we can plan your homestay.
  • Health & Welfare Data includes any allergies that you suffer from or food that you are allergic to so we can make your homestay experience as safe and comfortable as possible. We also ask you to inform us of any medical conditions or medication regularly taken, so should an emergency occur during your homestay we can inform the appropriate health professionals after contacting your preferred emergency contact.

Consent.

Any of the above data is purely optional and you have the right not to provide this should you so wish, however to complete your homestay registration we need certain information to complete your booking.

How is your personal data collected?

Your data is collected by you consenting to complete our registration form and returning it by email.

How we use your personal data.

We will only use your personal data when the law allows us to. Most commonly, we will use your personal data:

  • To perform the homestay contract we are about to enter into or have entered into with you, and to provide you with the information, products and services that you request from us.
  • To notify you about changes to our service.

We will never share your data with anyone.

Data security.

We have put in place appropriate security measures to prevent your personal information from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal information to those employees who have a business need to know.

We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.

Data retention.

We will only retain your personal information for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

We will usually store your data information until after completion of your homestay with us. Transactions however will be stored for accounting purposes.

Your legal rights.

You have the right to ask us to correct any incorrect personal information we store about you, to delete personal information, or otherwise restrict our processing, or to receive an electronic copy of the personal information you provided to us.

Complaints.

If you are not happy with the way your information is being handled, or with the response received from us, you have the right to lodge a complaint with the Information Commissioner's Office (ICO), the UK supervisory authority for data protection issues (www.ico.org.uk) at Wycliffe House, Water Lane, Wilmslow, SK9 5AF.
